Clear expectations for A Plus Trips group experiences and private international trips.

Travel plans are exciting. The terms should be clear.

By paying a deposit, making any trip payment or approving a private-trip proposal, you confirm that you have read and accepted the terms that apply to your booking. Trip-specific agreements, invoices and supplier rules may add details to this policy.

How a refund is calculated

A refund percentage does not apply to every dollar paid. It applies only to the Eligible Refundable Balance.

Example: If a traveler paid $2,000, including a $300 deposit, and $900 has already been committed to non-refundable vendors, the Eligible Refundable Balance is $800. A 75% refund would equal $600. A Plus Trips will provide a written calculation showing the amounts received, amounts committed and refund due.

A PLUS GROUP EXPERIENCES

Group Trip Cancellation & Refund Policy

Deposits

All group-trip deposits are non-refundable. Deposits reserve limited space and cover administrative work and early supplier commitments. A deposit is not included in the Eligible Refundable Balance.

If the traveler cancels

Cancellation requests must be emailed to help@aplustrips.com. The cancellation date is the date the written request is received. If an Eligible Refundable Balance remains, the following schedule applies:

The refund will never exceed money still recoverable after non-refundable deposits, airfare, vendor penalties and services already provided are deducted.

Travel credit

When A Plus Trips approves a travel credit in writing, the confirmation will state the exact credit amount. The credit must be applied to a new eligible A Plus Trips group-trip booking within six months of the confirmed cancellation date. The new trip may depart after the six-month deadline, but the credit must be applied before it expires. Unused credit is forfeited after six months and will not be extended, refunded for cash or transferred to another person. A credit may be used only once and cannot be combined with a cash refund, insurance payment, chargeback or other recovery for the same cancelled amount. Vendor-issued credits remain subject to the issuing vendor’s separate rules and expiration date.

Transfer option

Instead of cancelling, a traveler may request to transfer the booking to another eligible traveler when the request is received at least 181 days before departure. Transfers require written approval and are not guaranteed. A $100 transfer-processing fee applies, plus all airline, hotel or vendor name-change fees and fare differences. The replacement traveler must complete all forms and accept the trip terms by the deadline provided.

Late or missed payments

A late fee may be assessed after a payment is seven days overdue. A booking may be cancelled after ten days overdue. Any refund will be calculated using this policy and the cancellation date. If reinstatement is available, a $100 rejoin fee, the outstanding balance and any supplier price increase must be paid.

No-show and traveler-caused losses

No refund is provided for failing to appear, missing a flight or activity, arriving late, voluntarily leaving a trip, being denied boarding, passport or visa issues, failure to meet entry requirements, removal for unsafe or disruptive conduct or unused portions of the package.

If A Plus Trips cancels for business reasons

If A Plus Trips cancels the entire group trip because of low enrollment or another business decision within our control, travelers may choose a transfer to another available A Plus Trips departure or a refund of all package payments received by A Plus Trips for services not provided. Refunds will be initiated within 14 business days of cancellation. Separate purchases made outside A Plus Trips are not reimbursable.

If a vendor or outside event causes cancellation

If an airline, hotel, tour operator or other vendor cancels, or the trip cannot operate because of weather, government action, public-health events, civil unrest, natural disaster or another circumstance outside our reasonable control, A Plus Trips will seek available refunds or credits. The traveler will receive the recoverable amount or credit actually authorized by the vendor, less disclosed non-refundable fees and services already provided. A Plus Trips does not guarantee that a vendor will approve a cash refund.

PRIVATE INTERNATIONAL TRAVEL

Private Trip Cancellation & Refund Policy

Private trip planning is available only for international air travel requested at least six months in advance, with a minimum of four travelers. A Plus Trips does not plan domestic trips or cruises.

Consultation, planning and service fees

Consultation, research, planning and service fees are non-refundable once the applicable work begins. If A Plus Trips cancels planning before work begins, the fee will be refunded in full. If A Plus Trips ends the engagement after partial work, any unearned portion will be calculated and refunded.

Before vendor reservations are made

If the client cancels before any airfare, hotel, activity or other vendor reservation is purchased, A Plus Trips will refund 100% of uncommitted trip funds. Earned consultation, research, planning and service fees remain non-refundable. The refund will follow the private-trip processing timeline below.

After vendor reservations are made

Once money has been sent or a reservation is confirmed, each vendor’s cancellation and refund rules control that portion of the booking. The client will receive only the vendor funds actually returned to A Plus Trips, less any disclosed cancellation penalty, earned A Plus Trips fee, currency loss or payment-processing amount that is not returned. A Plus Trips is not required to advance a refund while vendor funds remain pending.

If the client cancels

Cancellation requests must be emailed to help@aplustrips.com. The cancellation date is the date the written request is received. After the non-refundable planning fee, airfare, committed vendor amounts, completed services and other nonrecoverable costs are deducted, the following percentage applies to the remaining Eligible Refundable Balance:

These percentages do not apply to money a vendor lawfully retains. A refund will never exceed the amount A Plus Trips can recover after non-refundable and earned amounts are deducted.

Private-trip travel credit

When cancellation is confirmed at least 121 days before departure, A Plus Trips may approve a one-time travel credit instead of a cash refund. The credit will equal the approved refundable amount stated in writing and must be applied to a new eligible private-trip booking within six months of the confirmed cancellation date. The replacement trip must meet the current private-trip requirements, including international air travel, a minimum of four travelers and at least six months of planning time. Current pricing, availability, new planning fees and vendor terms will apply. The new trip may depart after the six-month deadline, but the credit must be applied before it expires. Unused credit is forfeited and cannot be extended, transferred, converted to cash or combined with another recovery for the same cancelled amount. Vendor-issued credits remain subject to the vendor’s own rules and expiration date.

No-show and client-caused losses

No refund or A Plus Trips credit is provided for a no-show, missed flight or activity, late arrival, voluntary withdrawal, denied boarding, passport or visa issue, failure to satisfy entry requirements, removal for unsafe or disruptive conduct or any unused portion of the private-trip arrangements. Any separate vendor credit remains subject to the vendor’s rules.

Changes requested by the client

Changes after proposal approval may require an additional planning fee. Airline fare differences, hotel rate increases, name-change charges and other supplier fees are the client’s responsibility. A request is not complete until A Plus Trips confirms it in writing.

Group size and lead traveler

If the group drops below four travelers, pricing and trip viability may change. A Plus Trips may issue revised pricing or end planning services if the minimum is no longer met. Each traveler remains responsible for amounts already committed in that traveler’s name. The lead traveler must share all deadlines, policies and approved details with the group.

If A Plus Trips cancels the private-trip engagement

If A Plus Trips cancels for a reason within our control, all uncommitted trip funds and any unearned planning fees will be refunded. Amounts already held by vendors remain subject to their rules, but A Plus Trips will assist with requesting all available refunds or credits.

AIRLINES, HOTELS & TOUR OPERATORS

How vendor payments are handled

Money may be sent immediately

Trip payments may be forwarded to vendors before the final payment date to secure current pricing, inventory or group space. Once forwarded, those funds are no longer held by A Plus Trips and may become partially or fully non-refundable.

Vendor terms apply

Airlines, hotels, ground operators, activity providers, insurers and payment processors set their own cancellation, credit and refund rules. When available, those rules will be included in the proposal, invoice, trip agreement or booking confirmation.

Refunds cannot exceed recovery

A Plus Trips is not required to refund money that a vendor lawfully retains, except where A Plus Trips is independently responsible under applicable law. A credit issued by a vendor is not automatically convertible to cash.

Currency and processing differences

International vendors may refund in a foreign currency. Exchange-rate changes, bank charges and non-returned processing fees can cause the amount received to differ from the original payment.

WHAT HAPPENS AFTER A CANCELLATION

Airfare refunds required by U.S. lawWhen A Plus Trips is the merchant of record and a refund is legally due, it will be issued within the legally required period, generally 7 business days for credit-card payments and 20 calendar days for other payment methods.

Business days do not include Saturdays, Sundays, federal holidays or days when the applicable financial institution is closed. A refund is considered initiated when A Plus Trips submits it to the original payment method. The stated processing period is A Plus Trips’ timeframe; the traveler’s bank, card issuer, payment platform or financial institution may take additional time to approve, post or release the funds. Holiday periods and banking closures may also cause delays outside A Plus Trips’ control. If the original method cannot accept the refund, identity and account verification may be required before another method is used.

Important Terms & Traveler Responsibilities

Travel protection

Travel insurance is strongly recommended for every traveler. Travelers should consider trip cancellation, trip interruption, emergency medical care, medical evacuation, baggage, delay and supplier-default coverage, and should purchase coverage promptly after making the first trip payment when required by the chosen policy. A Plus Trips does not sell, provide, administer or select insurance and does not receive or decide claims. Travelers may independently review providers such as Allianz Travel Insurance, Travel Guard and Travelex Insurance, or compare policies through InsureMyTrip. These names are provided only as optional resources, not endorsements or guarantees. The traveler is responsible for reviewing exclusions, covered reasons, benefit limits and claim requirements directly with the insurer. Choosing not to purchase protection does not change this cancellation policy or make A Plus Trips responsible for otherwise non-refundable losses.

Force majeure and events outside our control

A Plus Trips is not responsible for a delay, change, interruption, cancellation, loss or additional expense caused by an event beyond its reasonable control. Examples include severe weather, natural disaster, fire, epidemic or public-health emergency, war, terrorism, civil unrest, government order, border closure, labor strike, transportation failure, utility or technology outage, supplier failure or bankruptcy, or another event that could not reasonably be prevented. A Plus Trips may change the itinerary, substitute comparable services, postpone or cancel affected arrangements when reasonably necessary for safety or trip operation.

When a force majeure event affects a booking, A Plus Trips will make reasonable efforts to request available vendor refunds or credits and will pass along amounts or credits actually authorized and received, less disclosed non-refundable amounts and services already provided. A Plus Trips does not guarantee a cash refund, does not advance money still held by a vendor and is not liable for unrecoverable vendor charges, missed work, outside reservations or other consequential losses, except to the extent required by applicable law. Travel insurance with cancellation, interruption and delay protection is strongly recommended.

Flights, schedules and baggage

Airlines control their schedules, aircraft, seating, baggage handling, rebooking, credits and refunds. A Plus Trips is not an airline and cannot guarantee flight times, routes, seat assignments, connections or baggage delivery. To the fullest extent permitted by law, A Plus Trips is not responsible for airline delays, cancellations, schedule changes, missed connections, denied boarding, lost, delayed or damaged baggage, or expenses caused by an airline disruption. Travelers must monitor airline notices, arrive on time, follow baggage rules and report baggage problems directly to the airline as soon as possible.

A Plus Trips will reasonably assist with information or a vendor request when the booking allows, but the airline’s contract of carriage and applicable passenger-protection laws control. Nothing in this policy waives a traveler’s legal right to an airline or merchant-of-record refund when one is required by law.

Personal belongings

Travelers are responsible for passports, money, jewelry, electronics, medication, luggage and all other personal property during the trip. A Plus Trips is not a storage provider and is not responsible for property that is lost, stolen, forgotten, damaged or left unattended, except to the extent a loss is directly caused by A Plus Trips’ gross negligence or willful misconduct and liability cannot legally be waived. Travelers should use hotel safes when available, keep valuables with them and obtain appropriate baggage or personal-property coverage.

Illegal, unsafe or disruptive conduct

Travelers must follow applicable laws, destination rules, vendor policies and reasonable safety instructions. Criminal activity, threats, violence, harassment, theft, fraud, possession or use of illegal drugs, weapons violations, deliberate property damage, or conduct that reasonably endangers or seriously disrupts another person or the trip is prohibited. A Plus Trips may immediately remove a traveler from an activity or trip, contact local authorities, notify a vendor or take other reasonable protective action. The traveler is responsible for resulting legal fees, fines, transportation, lodging, property damage and other costs. No refund or A Plus Trips credit is owed for services lost because of the traveler’s prohibited conduct.

Right to decline or end the business relationship

A Plus Trips may decline a new booking or end an existing business relationship when reasonably necessary because of nonpayment, fraud or suspected fraud, abusive or threatening communication, repeated failure to provide required information, material violation of these terms, illegal or unsafe conduct, harassment, a breakdown in cooperation that prevents proper trip planning, or a material risk to travelers, staff, vendors or the business. When practical, written notice will be provided.

Ending the relationship does not erase amounts already owed, vendor commitments or rights that cannot legally be waived. Any money remaining after earned planning fees, non-refundable deposits, completed services and committed vendor amounts are deducted will be handled under the applicable cancellation and refund provisions. A Plus Trips will not end a relationship for an unlawful discriminatory or retaliatory reason.

Documents and entry

Each traveler is responsible for a valid passport, visas, health documents and entry requirements. Booking names must match government identification exactly.

Price and availability

Quotes are not guaranteed until payment is received and vendors confirm the booking. Delayed payments, group-size changes and requested revisions may change the price.

Trip changes

Reasonable changes to schedules, hotels, transportation or activities may be made when necessary. A comparable substitution is not automatically a cancellation or a reason for a full refund.

Payment disputes

Contact A Plus Trips promptly so concerns can be reviewed. A chargeback does not cancel a booking or create a refund right beyond this policy, the signed agreement, vendor terms or applicable law.

No double recovery

A traveler may not receive both a refund and a vendor credit, insurance payment or chargeback for the same loss. Any duplicate recovery must be returned.

Written communication

Refunds, credits, transfers and exceptions are valid only when confirmed in writing by A Plus Trips. Social-media messages do not replace the required email notice.

Photography, video and media use

A Plus Trips may photograph, film or otherwise record group and private-trip experiences through its team, hosts, photographers, videographers or authorized contractors. Unless a traveler opts out as described below, the traveler grants A Plus Trips permission to use the traveler’s name, image, likeness, voice and appearance captured during the trip for lawful business and promotional purposes, including the A Plus Trips website, social media, email marketing, digital advertisements, printed materials, trip recaps and future trip promotions. This permission is worldwide, royalty-free and does not require additional payment or approval of the finished material.

A traveler who does not want their identifiable image or voice used must email help@aplustrips.com before departure with the subject line Media Opt-Out and must also notify the trip host at the beginning of the trip. A Plus Trips will make reasonable efforts not to feature an opted-out traveler in posed, close-up or promotional content. Because trips take place in shared public and group settings, A Plus Trips cannot guarantee exclusion from every incidental background, crowd or live-event image.

An opt-out applies to future A Plus Trips use after the request is confirmed. It does not require removal of material already printed, published, distributed, scheduled or shared by independent travelers or third parties, although A Plus Trips will reasonably review a removal request for content it controls. Travelers may not use another traveler’s private or sensitive image for harassment, exploitation or unlawful purposes. A parent or legal guardian must provide any required media permission for a traveler under 18.

Acceptance

Payment or written approval confirms acceptance of this policy and trip-specific terms. If terms conflict, the trip-specific signed agreement controls for that booking.
